What is Automatic Clock Out?
This feature is designed to ensure that your work sessions align seamlessly with your scheduled shifts, adapting to various shift lengths. Here’s what you need to know:
- Session Duration: Work sessions automatically continue until 1 hour after your clock-in time, unless your schedule starts within that hour.
- Extended Sessions: If your work schedule starts within an hour after clocking in, your session will extend to cover the entire scheduled shift plus an additional 1-hour grace period.
- Continuous Work Sessions: You can have continuous work sessions without needing to clock in again, as long as your back-to-back schedules are less than an hour apart.
- Re-clocking: If there are no back-to-back schedules or if the gap between schedules is more than an hour, you will need to clock in again to start a new session.
Avoiding Automatic Clock-Outs:
To ensure your work session doesn’t end unexpectedly, please check the following:
- Confirm Your Schedule: Make sure your work schedule for the day is correctly set.
- Correct Timing: Ensure you are clocked in during your scheduled shift, or up to 1 hour before it begins.
- Correct Identification: Confirm that you are clocked in under the correct team or client ID associated with your schedule.
Handling Time Zones:
When working with clients across different time zones, adjusting your computer’s time zone to match the client’s local time before starting your session is essential. This alignment ensures that all scheduled sessions and clock-outs are executed according to the correct local time of the client, preventing any discrepancies.
Example Scenarios:
Scenario #1: You’re scheduled to work from 10 AM to 5 PM. You clock in at 9:50 AM. Here’s how Automatic Clock Out would handle your session:
- 9:50 AM: You clock in. The system begins to check for scheduled shifts starting within the next hour.
- 10 AM: Your shift begins. The system detects this and automatically extends your session to cover your entire shift, plus a 1-hour grace period.
- 6 PM: Your extended session automatically ends 1 hour after your shift has completed, ensuring you’re not clocked in longer than necessary.
Scenario #2: You’re an assistant based in Manila, but you’re supporting a client in New York. You need to work according to their active hours from 1 PM to 5 PM EST. Before you start your day:
- Adjust your computer’s time zone to EST.
- Clock in to match the start of your scheduled shift, ensuring that sessions are tracked accurately against New York time.
Your session will automatically extend to cover your entire shift plus a 1-hour grace period, providing a buffer for any last-minute tasks.
