Sign up for a discovery call with us to discuss your projects and goals. Tell us how you’d like to tackle your needs and answer additional questions so we can get a proper understanding of your specifications. It typically takes around 15-30 minutes.

For unforeseen circumstances, you can reschedule or cancel your discovery call through the confirmation email sent to you. In case you miss your discovery call, one of our representatives will reach out to you to book a new one.

2. Review the recommended candidate

After your discovery call, we will go through our pool of virtual assistants and find one who matches your specifications. You will receive an email with our recommended candidate. To help you decide if they are the right fit, the email will also include:

  • A copy of their resume
  • Relevant information based on any other conditions you specified
  • Schedule of your introductory call with the candidate
  • If the candidate’s profile is not satisfactory for your purposes, you can ask for a new recommendation.

3. Go on an introductory call with a candidate

If you’re interested in hiring our recommended candidate as VA, the next step is an introductory meeting with them. This introductory call is mostly unstructured so you’re free to talk to the candidate in any way that you want.

However, if you decide that the candidate is not right for your business, you can tell us and we’ll find another one. Send us an email with your feedback and any information we could use to choose a better candidate for you. Finding a new candidate typically takes two to three business days.

4. Get updates from your CRM

We will provide you with regular updates through an assigned client relationship manager (CRM), whom you can also contact for any other concerns you have regarding your assistant. They will be on the introductory call as well to provide support and ensure that the next actions are handled based on your assessment.

Should you decide to move forward with the recommended Magic Assistant, your CRM will settle the following:

  • Choosing a start date for your assistant
  • Scheduling an onboarding call
  • Defining the billing process

5. Integrate your Magic Assistant into your business

Once you’ve chosen a VA, an onboarding call will be scheduled so that you can ease your VA into their role at your business. This call allows you to brief your Magic Assistant on their role along with the information and means to fulfill it. It is done on the assistant’s start date.

Your assigned CRM will also be in contact to ensure that the onboarding call goes well. Some key points you should discuss are:

When do I pay for Magic?

You will only be charged once your Magic Assistant is actively working on one of their delegated tasks. The billing week starts every Friday and ends on Thursdays of the following week (Pacific time). You may reach out to your client relations manager to make adjustments to your existing plan and other billing inquiries.
